Bridgen (the "Company", "we", "us", "our") is committed to handling personal information with care. 2. Personal Data We Collect
We collect personal data in the following ways:
Contact enquiries: When you use our contact form or email us, we collect your name, email address, and any other information you choose to include in your message, including a phone number if provided.
Service delivery: When engaging a Bridgen service, we collect the information needed to carry out that service. For the Relocation Documentation programme, this includes names, identity document details, and addresses for family members where required for submissions. For the Shared Calendar service, we collect the names of the adults to whom calendar access is granted and the schedule information households supply.
Website usage: We may collect standard analytical data about how visitors use our website, such as pages visited and time spent. This data does not directly identify individuals unless combined with other information.
Legal basis: We process personal data on the basis of consent (contact form submissions), the performance of a service agreement (service delivery), and our legitimate interests in operating a safe and functional website (analytics).
3. How We Use Personal Data
Personal data is used only for the purpose for which it was collected:
- To respond to enquiries and provide requested information about our services
- To deliver the specific service engaged, including preparing document packs, scheduling appointments and maintaining calendar records
- To communicate with you about the progress of an active service engagement
- To submit documents to government offices or other third parties where required by the service scope
- To maintain written records of service delivery for the duration of the engagement and a reasonable retention period thereafter
- To comply with applicable Malaysian law
We do not use personal data for marketing purposes without explicit consent, and we do not share personal data with third parties for their own marketing use.
4. Sharing Personal Data with Third Parties
Personal data may be shared with third parties in the following limited circumstances:
- Government offices and relevant authorities: Where a service requires submission of documents on your behalf (for example, to the National Registration Department or a state education department), the information contained in those submissions is shared with the relevant authority.
- Service providers: We use a small number of third-party tools to operate our website and manage communications. These providers process data only on our instruction and are required to maintain appropriate safeguards.
- Legal requirements: We may disclose personal data if required to do so by applicable Malaysian law or by a court order.
We do not sell personal data. We do not share personal data with advertisers.
5. Data Retention
Personal data related to a service engagement is retained for a period of three years after the close of that engagement, to allow for any questions or disputes about the work done. Contact enquiries that do not lead to a service engagement are retained for twelve months.
After the applicable retention period, personal data is deleted from our active systems. Data submitted to third parties (such as government offices) is held by those parties under their own retention policies.
6. Data Security
Personal data is stored on password-protected systems accessible only to authorised Bridgen personnel. We use standard security measures appropriate to the sensitivity of the information held. Where documents are transmitted electronically for the purpose of submissions, we use secure file transfer methods.
In the event of a data breach that is likely to result in risk to individuals, we will notify affected parties and, where required by the PDPA, the relevant authority, without undue delay.

Personal data relating to children is collected only as part of service delivery — for example, a child's name and date of birth for a school enrolment submission — and only with the consent of a parent or legal guardian. We do not collect children's personal data for any purpose beyond the specific service engaged.
